Terms & Conditions of Entry
Assumption of Risk, Limitation of Liability & Indemnity Agreement

PLEASE READ CAREFULLY BEFORE ACCEPTING.
These Terms & Conditions affect your legal rights and include important information about risk, liability, and participation.

1. Definitions

In these Terms & Conditions:

  • “Conditions” means these Terms & Conditions of Entry.

  • “Event” means the Sidekick Tri event, including any related activities organised by the Event Organiser.

  • “Event Organiser” means Limelight Sports Ltd (or such other entity as notified in Event Information).

  • “Event Information” means all information provided by the Event Organiser relating to the Event, including joining instructions, schedules, rules, safety information, and updates.

  • “Participant” means any individual taking part in the Event, including employees, corporate partners, invited guests, and any approved support participants.

  • “Associated Parties” means the Event Organiser and its officers, employees, contractors, volunteers, suppliers, sponsors, partners, medical providers, and agents.

  • “Entry” means a place allocated or registered for the Event, whether paid, subsidised, or complimentary.

  • “Entry Form” means the registration or sign-up process for the Event, completed online or otherwise.

  • “Live Event” means an in-person Event involving physical participation.

  • “Rules” means any rules, guidance, cut-off times, safety instructions, or participation requirements issued by the Event Organiser.

2. Acceptance of These Conditions

2.1 Entry to the Event is conditional upon acceptance of these Conditions.

2.2 By submitting an Entry Form, accepting an allocated place, or participating in the Event in any capacity, you confirm that you have read, understood, and agree to be bound by these Conditions.

2.3 Where an Entry is completed by a company, team organiser, or third party on behalf of a Participant, that person confirms they have authority to do so and that each Participant is aware of and accepts these Conditions.

3. Eligibility & Inclusive Participation

3.1 Sidekick Tri is an inclusive event, welcoming Participants of all backgrounds, identities, and abilities.

3.2 Participants must meet any minimum age requirements notified in Event Information. Where under-18s are permitted, parental or guardian consent will be required.

3.3 Participants are encouraged to take part in a manner that is appropriate for their own ability, experience, and comfort level. Competitive participation is optional unless expressly stated.

3.4 The Event Organiser is committed to making reasonable adjustments to support accessibility and inclusion.
Requests for adjustments or support should be made as early as reasonably possible via the contact details provided in Event Information.

3.5 The Event Organiser reserves the right to allocate Participants to appropriate categories, waves, or formats in the interests of safety, fairness, and inclusion.

4. Entry, Fees & Allocation of Places

4.1 Entry may be free, subsidised, or subject to a fee, as notified at the time of registration.

4.2 Entry is not confirmed until registration is completed in accordance with Event Information.

4.3 Entries are personal to the Participant but, given the corporate nature of the Event, substitutions may be permitted with prior written approval from the Event Organiser.

4.4 The Event Organiser reserves the right to refuse or withdraw an Entry where necessary for safety, operational, or conduct-related reasons.

4.5 Entrants may take part as a Solo, Team of 2 (two) or as a Team of 3 (three). Fees will apply inaccordance with our ticketing provider Race Nation.

4.6 All entrants are required to raise a minimum of £150, which will be donated to the Superhero Sport Foundation. Any funds raised in excess of this amount may be donated to a charity of the entrant’s choice.

5. Event Rules, Safety & Conduct

5.1 Participation in the Event involves physical activity and carries inherent risks that cannot be entirely eliminated, even with appropriate safety measures.

5.2 By participating, you confirm that:

  • you are physically and medically able to take part in the Event with or without reasonable adjustments, and

  • you will take responsibility for participating in a manner that is safe for yourself and others.

5.3 Participants are strongly encouraged to consult a medical professional if they have any concerns about their ability to take part.

5.4 Participants must:

  • follow all Rules and Event Information,

  • comply with instructions from event staff, marshals, medical teams, and officials,

  • behave in a respectful, inclusive, and non-disruptive manner.

5.5 The Event Organiser may remove or prevent a Participant from taking part if, in its reasonable opinion:

  • participation presents a safety risk,

  • instructions are not followed,

  • behaviour is inappropriate, unsafe, or disruptive,

  • continued participation would undermine the safe or inclusive running of the Event.

No refund or compensation will be payable in such circumstances.

6. Equipment & Personal Responsibility

6.1 Participants are responsible for providing and using appropriate equipment for their participation, unless otherwise stated.

6.2 All equipment must be safe, suitable, and compliant with Event Rules. This includes (where relevant) bicycles, helmets, buoyancy aids, wetsuits, and footwear.

6.3 Use of personal equipment is entirely at the Participant’s own risk.

7. Changes, Cancellation & Force Majeure

7.1 The Event Organiser reserves the right to:

  • change the Event format, course, distances, start times, or schedule,

  • delay, shorten, or modify the Event for safety, operational, or weather-related reasons.

7.2 Where possible, Participants will be notified of material changes in advance.

7.3 The Event Organiser may cancel the Event due to circumstances beyond its reasonable control, including but not limited to severe weather, public health concerns, government restrictions, or safety considerations (“Force Majeure”).

7.4 In the event of cancellation, the Event Organiser’s liability shall be limited to any refund policy notified in Event Information. No further compensation shall be payable.

8. Assumption of Risk & Limitation of Liability

8.1 You acknowledge that participation in the Event involves inherent risks of injury, illness, or loss.

8.2 To the fullest extent permitted by law, you agree that the Event Organiser and Associated Parties shall not be liable for any loss, damage, injury, or expense arising from participation in the Event, except where caused by their negligence.

8.3 The Event Organiser does not exclude or limit liability for:

  • death or personal injury caused by negligence,

  • fraud or fraudulent misrepresentation,

  • any other liability that cannot lawfully be excluded.

9. Indemnity

9.1 You agree to indemnify and hold harmless the Event Organiser and Associated Parties from any claims, losses, or liabilities arising from:

  • your breach of these Conditions,

  • negligent or reckless actions,

  • misuse of equipment,

  • actions that cause harm to others or property.

10. Photography, Filming & Publicity

10.1 The Event may be photographed, filmed, or recorded.

10.2 By participating, you consent to the use of your image, name, and likeness in Event-related media, including promotional and internal communications, without compensation.

10.3 Such use will not imply personal endorsement of any sponsor or partner.

11. Data Protection

11.1 Personal data will be processed in accordance with applicable UK data protection laws and the Event Organiser’s Privacy Policy.

11.2 Medical information will only be used for health and safety purposes in connection with the Event.

11.3 Participants may opt out of non-essential communications in accordance with the Privacy Policy.

12. General

12.1 These Conditions constitute the entire agreement between the Participant and the Event Organiser in relation to the Event.

12.2 If any provision is held to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

12.3 These Conditions are governed by the laws of England and Wales, and the courts of England and Wales shall have exclusive jurisdiction.
